MEMBERSHIP & PAYMENT POLICIES

1. Membership Eligibility & Team Affiliation

Membership begins on the designated start date associated with the member’s Team K membership plan.
All fencers must maintain an active Team K membership and the appropriate USA Fencing membership required for their level of participation.
Team K Fencing must be listed as the fencer’s Primary Club with USA Fencing and on applicable tournament registrations.
Team K members are expected to represent Team K at USA Fencing-sanctioned competitions and follow applicable Team K uniform and patch requirements.
Failure to maintain the required Team K affiliation may result in non-member rates or loss of member benefits.

2. Programs & Class Placement

Team K training placement is based on each athlete’s age, skill level, experience, commitment, and Head Coach evaluation.

Beginner fencers are required to complete a minimum of 10 private lessons before entering regular group classes unless otherwise approved by the Head Coach.
Class placement and movement between levels are determined by the Head Coach or authorized Team K coaching staff.
Placement in Advanced, Competitive, or Elite programs may require additional training and competition commitments.
Participation in the Elite Competitive Program may require a separate Commitment Agreement.

3. Membership Billing & Fees

Monthly Team K memberships are processed through the Team K website using Auto-Pay.
Monthly membership payments are not accepted through Zelle, cash, check, or other offline methods unless specifically authorized by Team K.
Members are responsible for maintaining a valid payment method on file.
Membership rates are based on the current Team K Fee Schedule.

Initiation & Re-Initiation

A one-time $125 Initiation Fee applies when beginning membership.
A $125 Re-Initiation Fee applies whenever membership resumes after a hold, cancellation, or interruption, regardless of the length of the interruption.
Initiation and Re-Initiation Fees are non-refundable and non-transferable.

4. Membership Cancellation & Holds

Cancellation or hold requests must be submitted at least 30 days before the next scheduled Auto-Pay date.
Requests received less than 30 days before the next scheduled payment will take effect after the upcoming billing cycle.
Membership does not automatically pause, cancel, or extend because of absence, travel, injury, vacation, schedule conflicts, or non-attendance.
Membership holds must be approved by Team K.
Any hold, cancellation, or interruption requires the applicable $125 Re-Initiation Fee when membership resumes.
Missed membership time does not create a credit or extension.

5. Payment, Late Fees & Refunds

All membership and program fees must be paid by the applicable deadline.
Unpaid balances are subject to a $50 late fee.
If the balance remains unpaid 7 days after the original due date, an additional $50 late fee will apply.
Team K may suspend participation in classes, private lessons, tournaments, camps, or other activities until all outstanding balances are paid in full.
All Team K fees, including membership fees, private lessons, tournament coaching, camps, and other program fees, are non-refundable and non-transferable once paid.
Failure to attend or participate does not qualify for a refund, credit, extension, or make-up.
Tournament coaching, camps, and other programs may have separate payment deadlines, cancellation requirements, expiration terms, or deposit requirements.

6. Group Class Attendance

Athletes are expected to arrive on time and prepared for scheduled training.
Missed group classes are non-refundable and are not eligible for make-up classes.
Group class schedules may be adjusted due to tournaments, camps, holidays, club closures, or other Team K events.
Classes canceled due to scheduled tournaments, holidays, or club closures are not eligible for make-up sessions unless otherwise announced by Team K.

7. Additional Services & Payments

Additional Team K services may include private lessons, tournament coaching, camps, special training, and equipment services. These services are not necessarily included in monthly membership fees and may require separate registration and payment.

Private lesson packages are generally purchased through the Team K website, except for approved Bulk Prepaid Packages or other authorized arrangements.
Tournament / Strip Coaching fees and deposits are paid through the payment method designated by Team K and may be collected offline.
Camp fees and deposits are paid according to the payment method and deadline established for each camp.
Participation, reservations, or coaching coverage may not be confirmed until the required payment or deposit has been received.
Additional services are subject to their applicable Team K policies and announced pricing.

8. Policy Changes

Team K Fencing reserves the right to update its programs, schedules, fees, payment procedures, and policies as necessary.

Significant changes affecting current members will be communicated by Team K.

The most current version of the Team K Fencing Membership & Payment Policies published by Team K will apply.

PRIVATE LESSON POLICIES

TEAM K FENCING PRIVATE LESSON POLICIES

1. General Policy

Private lessons are subject to coach availability and Team K scheduling policies.
An active Team K membership is required unless otherwise approved by Team K.
All private lessons must be prepaid.
Purchasing a lesson package does not guarantee a specific coach, date, time, or recurring schedule unless specifically approved by Team K.
Private lesson rates are based on the current Team K Fee Schedule.

2. Booking & Scheduling

Private lessons may be booked:

Online through the Team K website after purchasing an eligible lesson package; or
Directly through Coach Young.

Online reservations are first-come, first-served and subject to coach availability. Same-day online booking is permitted when an available time is shown.

All scheduling requests made outside the online system must go through Coach Young and may not be arranged directly with other Team K coaches.

Requests made directly to Coach Young must be submitted at least 24 hours in advance. Same-day requests are generally not accommodated.

3. Lesson Packages & Scheduling Options

Standard 10-Lesson Package

Valid for 180 days from the date of purchase.
Unused lessons expire after 180 days and are non-refundable and non-transferable.
Expired lessons cannot be extended or reinstated except when Team K approves an adjustment due to a significant interruption caused by Team K.

Recurring Lessons — Auto-Replenishment

Athletes who wish to maintain an approved recurring lesson time must enroll in Auto-Replenishment unless using an approved Bulk Prepaid Package.

To activate Auto-Replenishment, the family must first purchase an eligible 10-lesson package through the Team K website and maintain a valid payment method on file.
Auto-Replenishment can begin only after the initial online package purchase and payment setup have been completed.
When the lesson balance reaches 2 remaining lessons, a notification email will be sent and a new 10-lesson package will be automatically charged to the payment method on file.
The new package will be added to the athlete’s existing lesson balance.
Auto-Replenishment is based on lesson usage, not a monthly billing date.
Enrollment requires the family’s authorization and a valid payment method on file.
If payment cannot be processed, Team K may release the recurring lesson time.
If Auto-Replenishment is discontinued, remaining valid lessons may still be used, but the recurring time will no longer be reserved once those lessons are completed.

Recurring Lessons — Bulk Prepaid Package

Families who do not wish to use Auto-Replenishment may maintain an approved recurring schedule by purchasing a minimum of:

100 single private lessons, or
50 double private lessons.

Bulk packages must be paid in full in advance, are valid for 12 months from the date of purchase, and are non-refundable and non-transferable.

The recurring time may be maintained while a sufficient valid prepaid balance remains.

Non-Recurring Lessons

Families who do not need a recurring time may purchase packages as needed and book available lessons online.

A specific coach, date, time, or recurring weekly schedule is not guaranteed.

4. Cancellation & Rescheduling

Lessons must be canceled or rescheduled at least 24 hours before the scheduled lesson time.
Cancellations, rescheduling requests, or no-shows within 24 hours will result in the lesson being charged in full.
This policy applies to illness, emergencies, travel, schedule conflicts, and other unforeseen circumstances.
Rescheduling is subject to coach availability, and an alternative time is not guaranteed.

5. Recurring Lesson Times

Recurring lesson times are reserved scheduling privileges and are not permanent ownership of a specific time slot.

Team K may adjust recurring schedules due to coach availability, tournaments, travel, holidays, club closures, or other operational needs.

A recurring time may be released if:

Auto-Replenishment is discontinued;
A required payment cannot be processed;
A prepaid lesson balance is fully used or expires; or
Team K discontinues or changes the recurring arrangement.

Once released, the previous coach, day, or time is not guaranteed to be available again.

6. Head Coach Private Lessons

Head Coach lessons are generally reserved for Advanced Class fencers and athletes actively competing at the national or international level.
Eligibility requires consistent participation in regular training and evaluation and approval by the Head Coach.
Head Coach lessons focus on advanced technical and tactical development and competition preparation.
Scheduling is subject to the Head Coach’s approval and availability.
Purchasing a Head Coach package does not guarantee eligibility or a recurring Head Coach lesson time.

7. Policy Changes

Team K Fencing reserves the right to update private lesson rates, packages, scheduling procedures, coach availability, and related policies as necessary.

Significant changes affecting current participants will be communicated by Team K.

The most current version of the Team K Fencing Private Lesson Policies published by Team K will apply.

TEAM K FENCING TOURNAMENT & STRIP COACHING POLICIES

1. Season Strip Coaching Enrollment

Any athlete who wishes to receive Team K strip coaching during the 2026–2027 competition season must submit the Team K Season Strip Coaching Agreement.

This requirement applies to all athletes requesting Team K strip coaching, including Regional, NAC, and Summer Nationals athletes.

Athletes who do not submit the Agreement will not be included in Team K coaching assignments or coaching fee calculations.

Submission of the Agreement does not guarantee coaching at every tournament. Coaching remains subject to Team K approval, coach availability, scheduling, and required payment or deposit.

2. Coaching Deposits & Payment Requirements

Regional Competition Athletes

Regional-only athletes are not required to submit a Season Coaching Deposit.

A $200 Tournament Coaching Deposit per event is required at least three weeks before the tournament.
The deposit will be applied toward the final coaching fee.
Any remaining balance will be invoiced separately.
Any unused portion of the deposit will remain as a credit toward future Team K strip coaching fees.
Coaching coverage is not confirmed until the required deposit has been received.

NACs & Summer Nationals Athletes

Athletes planning to compete in NACs and/or Summer Nationals must submit a $5,000 Season Coaching Deposit.

The deposit will be applied toward Team K strip coaching fees throughout the season, including Regional tournaments, NACs, Summer Nationals, and other Team K-coached events.
Approximately two weeks before each tournament, Team K will provide the applicable coaching fee, which will be deducted from the deposit.
When the remaining balance falls below $500, the deposit must be replenished back to $5,000 before future strip coaching can continue.
Any unused balance will carry over to the following competition season.

3. Tournament Registration, Withdrawal & Additional Requests

Once an athlete registers for a tournament for which Team K coaching is requested, Team K may begin assigning coaches, arranging travel, and calculating coaching costs.

If the athlete will not attend, the family must notify Coach Young at least two weeks before the first day of the event.

Notification received at least two weeks before the event: no strip coaching fee will be charged.
Notification received less than two weeks before the event, or failure to notify Team K: the athlete remains responsible for the full applicable coaching fee.

For tournaments not listed on the Team K Season Competition Calendar, families requesting Team K coaching must notify Coach Young within one week of registering.

Additional tournament requests are subject to Team K approval, coach availability, scheduling, travel feasibility, and required payment or deposit.

4. Coaching Fees & Coverage

Strip coaching fees vary by tournament and may include coaching compensation, per diem, transportation, lodging, and other reasonable tournament-related expenses.

Shared coaching and travel expenses may be divided among participating Team K athletes. Costs may therefore vary depending on the number of athletes, number of coaches, event location, and travel requirements.

Team K coaches will make every reasonable effort to support participating athletes; however, payment of a strip coaching fee does not guarantee coaching for every pool bout, DE bout, or individual match.

Coaching conflicts may occur when multiple Team K athletes compete simultaneously, schedules overlap, or athletes are assigned to different areas of the venue.

The number of coaches assigned to each event is determined by Team K based on overall coaching needs.

5. Team Expectations & Coaching Restrictions

Team K athletes are expected to demonstrate sportsmanship, respect, commitment, and team unity at competitions.

When reasonably possible, athletes are expected to remain and support Team K teammates who are still competing in the same event.

If two Team K athletes fence each other, Team K coaches will not provide strip coaching to either athlete during that bout.

All athletes receiving Team K coaching must follow applicable Team K affiliation, uniform, conduct, and competition requirements.

6. Policy Changes

Team K Fencing reserves the right to update tournament coaching procedures, deposits, fees, coaching assignments, deadlines, and related policies as necessary.

Significant changes affecting participating families will be communicated by Team K.

1. Purpose & Scope

Team K Fencing is committed to providing a safe, respectful, and supportive training environment.

This policy applies to all fencers, parents/guardians, coaches, staff, guests, and spectators participating in Team K activities, both at the club and at Team K events or competitions.

2. Code of Conduct

All individuals are expected to demonstrate respect, sportsmanship, self-control, and consideration for others.

The following behavior is prohibited:

Fighting, pushing, hitting, wrestling, or unsafe horseplay
Bullying, harassment, threats, intimidation, or discriminatory behavior
Abusive or inappropriate language
Repeated disruption of classes, lessons, or training
Interfering with coaching instructions or another athlete’s training
Deliberate damage to club property or another person’s equipment
Refusal to follow reasonable instructions from Team K coaches or staff

Athletes are expected to represent Team K respectfully during both training and competition.

3. Training & Facility Safety

Running or horseplay is not permitted near active fencing or training areas.
Individuals must remain clear of athletes who are fencing, receiving lessons, or participating in drills.
Fencing weapons must be carried with the tip pointed downward when others are nearby.
Weapons must not be swung, pointed, or used toward another person outside of appropriate fencing activity.
Everyone must use caution around strips, floor reels, cords, weapons, bags, and other equipment.
Team K coaches may stop or modify any activity they consider unsafe.

4. Equipment & Health

Fencers must use appropriate and properly functioning fencing equipment required for the activity.
Damaged or unsafe equipment must not be used.
Athletes should notify a coach of any injury, illness, or physical limitation that may affect safe participation.
Team K may restrict or stop participation when a coach determines that continuing to train may be unsafe.

5. Parent & Minor Supervision

Parents and guardians are expected to support a positive training environment and allow Team K coaches to manage technical instruction, training, and athlete behavior.

During scheduled classes and private lessons, coaches will supervise participating athletes as reasonably appropriate.

Outside of supervised activities, parents or guardians remain responsible for their minor children.

If a parent or athlete observes unsafe or inappropriate behavior, the concern should be reported to a Team K coach or staff member rather than confronting or disciplining another family’s minor child directly.

6. Photography & Media

Team K may photograph or record athletes during classes, lessons, camps, competitions, and club events for club communication, education, documentation, and promotional purposes.

Team K will not intentionally publish private contact information or other sensitive personal information in connection with promotional content.

Parents/guardians or adult members may submit a written request to opt out of future promotional photo or video use.

Opting out will not affect participation in Team K programs.

Previously published materials may not necessarily be removed, and Team K cannot control third-party sharing or reposting of content after it has been publicly released.

7. Violations & Disciplinary Action

Violations of Team K policies may result in disciplinary action depending on the severity and circumstances of the behavior.

Actions may include:

Warning
Removal from an activity or training session
Parent/guardian notification
Temporary suspension
Loss of club privileges
Termination of membership

Serious misconduct, repeated violations, unsafe behavior, or refusal to comply with Team K policies may result in immediate suspension or termination of membership.

Suspension or termination due to policy violations does not entitle the member to a refund of membership or program fees.

8. Policy Changes

Team K Fencing reserves the right to update these policies as necessary to maintain a safe, respectful, and effective training environment.

Any significant changes affecting current members will be communicated by Team K.
